Vendor Policy

Long Island TCG Show Vendor Policy

All vendors who book one or more tables agree to abide by the vendor policy below:

 

1. Sales Policy:

 

   - To purchase a table for our event, vendors must be 18 years of age or older. Once a vendor purchases a table for the event, all sales are considered final, and no refunds will be honored under any circumstances. Attempting to receive a credit back or canceling the charge with your credit card company after purchasing a table may result in being barred from future shows. Vendors are responsible for carefully considering their participation and table needs before completing their purchase. Vendors are strictly prohibited from reselling or transferring their tables to any other individual or entity. The business or entity that purchased the table must be the sole occupant of the table at the event. Any attempt to resell or transfer tables without the explicit consent of the Long Island TCG Show staff is strictly prohibited and may result in penalties, including but not limited to: being barred from future participation in our events, cancellation, and forfeiture of payment. Vendors may only purchase tables directly from the Long Island TCG Show staff. Any purchase of tables from individuals or entities other than the Long Island TCG Show staff is strictly prohibited. This policy is in place to ensure transparency, fairness, and accountability in all transactions related to vendor participation in our events. Dealer understands the payment policy and agrees to pay the fees as listed. No tables are guaranteed until payment is received. Checks with insufficient funds will be charged a $25.00 service fee. Vendors will not sell any unlicensed or bootleg material. The Promoter has the right to eject vendors from the event without refund. Vendor understands that tables are not guaranteed without full payment.

 

2. Eligible Vendor Categories: 

 

   - All vendors who book one or more tables must adhere to the following guidelines:

 

   - Vendors must specialize in trading card games OR video games, artwork, memorabilia, collectibles, or other related items specifically tied to trading card games. Other types of vendors or exhibitors are not permitted without prior consent from event organizers.

​

   - No sale or display of firearms, knives, or illegal items.

​

   - While there is no explicit ban on film related adult material (adult magazines, adult DVD's etc...), The Long Island TCG Show is a family convention and children WILL be present     – discretion should be used, and no display of such material is acceptable.

 

3. Table Staffing Requirements:

 

   - All vendors are required to keep their tables staffed and operational throughout the duration of the event, including during show hours and until the event concludes.

​

   - Tables must be fully set up and ready for business no later than 5 minutes before event start time. Failure to comply with this requirement may result in exclusion from future events.

​

   - Vendors will not act inappropriately at the event (i.e. no bad behavior or language). Failure to comply with this requirement may result in exclusion from future events.

​

   -Vendors will receive a maximum of 3 wristbands per table, unless otherwise approved by the Promoter.

​

   - Vendors will not leave trash or garbage in their area after departure. Failure to comply with this requirement may result in exclusion from future events.

 

4. Responsibility for Products/Belongings: 

 

   - Vendors are solely responsible for their tables and the safety of their products and belongings. The event host and facility are not liable for any lost, stolen, or damaged items.

 

5. Verification of Ownership: 

 

   - Upon arrival at the event, vendors may be required to present proof of ownership of their tables, such as a purchase confirmation or invoice. Failure to provide adequate proof of ownership may result in denial of entry to the event or other penalties as deemed appropriate by the Long Island TCG Show staff.

 

6. Non-Transferable Tickets: 

 

   - Any tickets or credentials issued to vendors for the purpose of accessing the event are non-transferable and may only be used by the individual or representative of the business that purchased the table. Sharing, selling, or transferring event tickets or credentials to any other individual or entity is strictly prohibited and may result in penalties, including being denied entry to the event. In addition, subletting is not allowed without the consent of the Promoter.

 

7. Table Placement: 

 

   - Vendors are welcome to submit table location requests; however, please note that these requests are not guaranteed. While we make every effort to accommodate vendor preferences, circumstances may arise that require table relocation. Therefore, the Promoter reserves the right to adjust table locations as necessary for the smooth operation of the event. Thank you for your understanding and cooperation in this matter. We look forward to hosting a successful event for all participants. Vendors will not move their table or neighboring tables and do not place anything in front or beside of tables.

 

8. Legal Compliance: 

 

   - Exhibitors are required to adhere to all applicable local, state, and federal laws while participating in The Long Island TCG Show. Vendors will follow all municipal, state, and federal laws regarding sales and sales tax. Vendors must provide the Promoter with a NY Sales Tax ID Number. By registering and participating in the event, exhibitors agree not to hold management liable for any breaches, losses, or damages incurred to themselves or their property.

 

9. Damage Responsibility: 

 

   - Any damage caused to the venue by a vendor is the sole responsibility of the vendor. Vendors are expected to exercise caution and care to prevent any damage to the premises.

 

10. Solicitation Prohibition: 

 

    - Solicitation of vendors and/or customers is strictly prohibited. Dealers are expected to conduct their business in a professional manner and refrain from engaging in any form of solicitation that may disrupt the event or inconvenience other participants.

 

11. Miscellaneous:

    - These additional clauses emphasize the importance of maintaining a respectful and professional environment for all participants and ensure that vendors understand their responsibilities and obligations during the event.

​

    - All exhibitors further agree to indemnify and hold harmless The Long Island TCG Show management, staff members, sponsors, partners, and workers against any loss, damage, theft, expenses, claims, or actions arising from personal injury, property damage, loss, or theft resulting from their participation in the event.

​

    - It is the responsibility of each exhibitor/artist/vendor to comply with state tax regulations and to collect and remit any applicable state taxes in accordance with state laws.

​

    - No smoking or outside alcohol is permitted in the venue at any time.

 

Safety Policies

 

The Long Island TCG Show is committed to providing a safe and enjoyable environment for all participants, including attendees, exhibitors, sponsors, staff, and guests. The following safety policies outline our commitment to maintaining security, promoting respect, and fostering a positive experience for everyone involved:

 

1. Zero Tolerance for Misbehavior: The Long Island TCG Show maintains a zero-tolerance policy for violence, mistreatment, or harassment of any kind towards sponsors, staff, exhibitors, guests, or attendees. This policy applies not only during our events but also extends to interactions on social media platforms and Discord groups associated with the Long Island TCG Show.

 

2. Dignity and Respect: We believe that every individual, regardless of their role at the event, deserves to be treated with dignity and respect. Acts of violence or sexual harassment will not be tolerated under any circumstances.

 

3. Reporting Incidents: Any incidents or concerns regarding violence or sexual harassment should be reported immediately to security or event staff. Show Management will promptly address and investigate all reported incidents or suggestions of violence or sexual harassment.

 

4. Avoiding Confrontation: Attendees, exhibitors, and staff are strongly discouraged from engaging in physical confrontations with individuals displaying violent behavior. Threats, intimidation, or any form of aggression, violence, or sexual harassment towards sponsors, attendees, exhibitors, or staff, whether prior to or during the event, will not be tolerated.

 

5. Definition of Threats: For the purposes of this policy, threats include but are not limited to verbal or physical harassment, attempts at intimidation, menacing gestures, displaying weapons, stalking, or any other behavior intended to intimidate or cause harm. This includes aggressive or harassing conduct on social media platforms or Discord groups associated with the Long Island TCG Show.

 

6. Prohibition of Violent Acts: The Long Island TCG Show expressly prohibits acts or threats of violence or sexual harassment by any attendee, exhibitor, or staff member within or around the convention facilities, or elsewhere at any time.

 

7. Enforcement and Consequences: The Long Island TCG Show reserves the right to cancel exhibitor/vendor contracts and remove individuals from the event if any violation of these policies is reported or suspected.

 

We are dedicated to upholding these safety policies to ensure the well-being and security of all participants. By adhering to these guidelines, we can create a welcoming and secure environment for everyone at the Long Island TCG Show.

 

VENDOR / EXHIBITOR DISCHARGE POLICY

 

The Long Island TCG Show reserves the right to refuse entry to or revoke the participation of any exhibitor or vendor at its discretion and at any time, for any reason deemed necessary by show management.

 

This policy is in place to uphold the integrity, safety, and overall success of our events. Exhibitors and vendors are expected to adhere to all event policies, rules, and regulations as outlined in the exhibitor agreement and other relevant documentation.

 

Instances that may warrant refusal of entry or revocation of participation include, but are not limited to:

 

1. Violation of event policies, rules, or regulations.

2. Misconduct or disruptive behavior during the event.

3. Failure to comply with instructions from show management or event staff.

4. Non-payment of fees or charges associated with participation.

5. Any other actions or behaviors deemed detrimental to the event or its attendees.

 

Show management will exercise this policy judiciously and in accordance with the best interests of the event and its participants. Exhibitors and vendors who are refused entry or have their participation revoked will be notified promptly and provided with any relevant information regarding the decision.

 

Promoter has complete authority over the event and all rules and regulations.

 

SEEPERSAD ENTERTAINMENT L.L.C. PHOTO POLICY

By attending The Long Island TCG Show (the “Event”), you consent to being filmed and or photographed, whereas your image, voice, and likeness may be used by the Event producers for promotional purposes. Any photography taken at the Event, whether in digital or analog format, is subject to mandatory, non-exclusive license to the Event producers for use in Event promotional purposes. Any artwork or performances sponsored by the Event or taking place on Event grounds is also subject to a mandatory, non-exclusive license to Event producers for use in Event promotional purposes.

Chu 'n Brew Vendor Policy

In consideration of the sum set forth above and the mutual obligations of the above parties involved in afore listed events (hereinafter “the Events”), I, the undersigned, on behalf of myself and any corporate entity which I represent for its participation in the Events, if any, and on behalf of all of my and/or the corporation’s employees, agents and volunteers who are participating in the Events, or are otherwise present for the Events, with the intention of binding myself and all others listed above, hereby release, indemnify, discharge, defend and save and hold harmless GREAT SOUTH BAY BREWERY, the sponsoring group or owner of the premises and all other Events sponsors, and their agents, respective officers, directors and employees (hereinafter collectively referred to as “Sponsors”), from any liability, claims, losses, demands, actions, fines, expenses, costs, judgments, all foreseeable and unforeseeable damages whatsoever, whether for personal injury or property damage arising during the Events or as a result of or due to participation in the Events including exposure/contraction of covid-19. The undersigned, being fully aware of the risks and hazards inherent in participating in the Events, hereby voluntarily elects to engage in such activity and assumes all risk of loss, damage, or injury to person or damage to property, while engaged in such activity, including exposure/contraction of covid-19. This release shall be binding on the distributes, next of kin, heirs, personal representative and administrators of the undersigned or those of any individual who the undersigned is signing on behalf. The undersigned irrevocably grants to sponsors the right to use his/her likeness, identifying logo or trademark in photographs, film or video for promotional use in any and all media. By signing this release, the undersigned hereby acknowledges and represents that he/she is of sound mind, has read this release and the Terms of Exhibition, understands it and signs it voluntarily. Additionally, if he/she is signing on behalf of a corporation or any other entity, the undersigned represents that he/she has authorization to sign on behalf of such entity.
